Accommodation Booking

As Copenhagen experiences a high season during the summit period, it is strongly recommended to book your accommodation when registering for the event. A selection of hotels in various price ranges, all within walking distance of the venue, has been pre-reserved for attendees. Rooms are available on a first-come, first-served basis, so early booking is highly encouraged.

Accommodation should be booked as part of the registration process. Please note that full pre-payment is required at the time of booking to secure your reservation.

Cancellation Policy

  • Cancellations or changes made before September 1, 2025 are eligible for a full refund, minus an administrative fee of DKK 350 per room and any applicable transaction charges.

  • No refunds will be issued for cancellations made after September 1, 2025.

  • All cancellations must be submitted via email to reg@meetingplanners.dk.

Please note that the conference organizers and the congress agency cannot be held responsible for any hotel refunds in the event of summit cancellation.
